Terms of Service
Effective September 19, 2026.
1. Service
NexaFile AI is a document-intelligence platform for extraction, summaries, flags, workflows and reports. AI assists; customers must verify outputs before financial, legal, HR, tax or operational decisions.
2. Accounts & authorized users
Customers are responsible for account security, member administration and submitting only data they are authorized to process. Abuse, automated scraping, limit circumvention or unauthorized access may be blocked.
3. Plans, AI Credits & billing
Plans apply per workspace: Starter supports up to 10 members, Business 50 and Scale 100. Document, page, storage and AI Credits allowances are shared. Standard paid plans currently permit up to 200 pages per document and 10 files per batch; accepted pages are processed in full or rejected before provider use, never silently truncated. AI Credits vary by workload. Allowance is checked before provider use. Refills add AI capacity only in the current period and do not add members, reset storage or extend the period. Enterprise terms follow the order form.
4. Renewal, expiry & access
Starter, Business and Scale are one-time payments for each 30-day period and do not renew automatically. A new full-price payment starts a new period after expiry. Any future automatic renewal applies only if clearly disclosed and accepted. An expired unpaid workspace may become read-only or suspended after the stated grace period; late payment alone does not immediately delete data.
5. Taxes, invoices & refunds
Taxes, invoices or receipts and seller information depend on the payment method and applicable jurisdiction. Refund and cancellation conditions are published in the Refund Policy and during checkout where applicable.
6. Data ownership & service license
Customers retain rights in their data and grant the limited rights necessary for NexaFile to store, process and transmit it to provide the service. NexaFile software, branding and product materials remain with their respective owner.
7. Availability, changes & liability
Additional SLA, support, liability, indemnity and commercial terms may be defined in an order form or separate agreement with business customers where applicable.
8. Acceptable use
Upload, connect and process only data you are authorized to use. Do not access others’ data without permission, distribute malware, send spam, infringe privacy or intellectual-property rights, or bypass allowances and security controls. Report abuse to support. NexaFile may restrict access to prevent harm or meet legal duties; the agreement and applicable law govern specific rights and obligations.
9. Direct account or workspace deletion
Only the Owner may delete the entire workspace. After confirmation, this immediately erases live data and disables member accounts, cloud connections and access. Export anything you need and review your billing obligations before deleting. After you confirm and select Delete now, NexaFile immediately erases live data within the scope shown. This action cannot be undone. Legally required records and backups follow separate lifecycles.
10. Agreement precedence
If a business customer has a separately signed order form, DPA or SLA, that document controls its specific subject matter and these Terms continue for the remainder.
11. Suspension and termination
Access may be restricted to prevent unauthorized access, abuse, security risk, legal violations or non-payment.
12. AI outputs and professional reliance
AI outputs may be incomplete or incorrect and do not replace legal, financial, tax, medical or other professional advice. Users must verify evidence and source documents.
13. Mandatory law and global availability
The service may be accessible from multiple countries, but this does not mean every feature, payment method or commercial term is offered everywhere. Users are responsible for applicable export, sanctions and local-law compliance; nothing in these Terms removes mandatory rights that cannot lawfully be waived.
