SaaS plans use the same report workflow: findings are traced to source evidence/pages when possible, confidence is shown, and items needing human review stay clearly marked. AI Credits remain workload-based.

Each plan includes AI Credits for NexaFile AI features. Credit usage varies with the amount of processing required. We’ll let you know when your balance is running low so you can buy more and keep working.

Validation before AI usage

NexaFile checks format, the full page count, plan limits and remaining AI Credits before calling AI. Corrupt, password-protected/encrypted, unsupported or over-limit files are not sent to the AI provider.

The 200-page maximum is the document acceptance limit. NexaFile analyzes accepted content in full or clearly declines it before processing; it does not silently read only the first pages.

When AI Credits run out

NexaFile warns when AI Credits are running low. When there are not enough AI Credits for a task, the file is not sent to AI; Owner/Admin can buy more AI Credits or change plan. Existing data and results remain available.

Buying more AI Credits adds AI processing capacity inside the current period; it does not increase the member cap, reset storage or move the period end.

SaaS and Private AI

Trial, Starter, Business and Scale are SaaS plans. Required content may be sent to the configured AI API provider, currently OpenAI API, only to perform the requested analysis. Private/self-hosted AI is an Enterprise option under a separate agreement.

AI can be incomplete or wrong. Verify results and evidence against the source document before financial, legal, tax, HR or operational decisions.

How data is used

NexaFile processes only the content needed to provide the feature you request and applies data-minimization safeguards where appropriate. Security, provider, deletion and export details are described in the Privacy Policy.

Supported formats

Supports PDF, DOCX, XLSX, PPTX, TXT, CSV and common image formats, plus Google Drive, OneDrive and SharePoint. Results depend on file structure, scan quality and extractable content.

Trial conditions

The trial is for product evaluation, does not automatically convert to a paid plan and does not repeat monthly. NexaFile may restrict related accounts or attempts to create accounts to bypass limits.

Scale: buy more AI Credits and paid renewal

Scale supports up to 100 members. During a paid period, when AI Credits are running low the workspace is warned; when there are not enough AI Credits for a task, Owner/Admin can buy more AI Credits to continue. Buying more does not increase the member limit, reset storage or move the original period end.

At the period end, the next 30-day plan period must be paid to continue new AI processing. Until payment is confirmed, new AI processing pauses while existing data and results remain available.
